Carson Correspondence 10/3/2005 – Email from Seth Carson to Ted Hanlon Ted, The space size for the electrical room is 21 feet by 7 feet. This is indicated on the E2.1 plan you have had for several months. The vertical space will be something that you will need to visit onsite and select you transformer appropriately. Please realize that this room is filling up with switch gear and sub panels. Don originally stated that the transformer could be hung from the ceiling above some of the gear or entry door. This needs to be confirmed onsite tomorrow. Could you please bring me the bid ready documents tomorrow as well? I would also like Call me by 9:00 to let me know when you can be here. If you can’t come over tomorrow, please drop the plans of to Jerry today at LCCC and I will get them Wednesday when I am over there for the board meeting. Thanks! One more thing: The details are still being worked out, but preliminarily we have Wednesday afternoon set for the state energy guys (Dale and Tom) to meet with media to speak about the new anamometer at LCCC. The microwave is 24 inches wide and 12 inches tall. I assume the depth on these cabinets is standard. Talk to you later. Phil Correspondence 10/3/2005 – Email from Nicole Buscher to Team As was discussed on Thursday, Taylor Kohrs will proceed with installing the wall rough-in for the West wall of Art Lab E116. This rough-in will consist of completing the waste, vent and water piping above ground. Water piping to be T'd inside the wall with either J-boxes or access panels installed in the face of the wall for future connections. The cost for this work is $1,200. In order to help with these costs, we could delete the hot water recirculation line in the Science Lab. This is not a code requirement but a water conservation method, as you don't need to run the water as long to get hot water. The recirc pump and associated line has not yet been installed and can be deleted. Cost savings would be $650. At this time, Taylor Kohrs will proceed with the wall rough-in. However, please respond as to whether the college wants to keep the recirc line for the Science Lab. If it has to be deleted to save $, then so be it, but it would save water in the long run. I guess I'm less concerned about this option than in the dorms, though $650 seems like chump change in a $4+ million project. Also, without the pump, it seems a bit out of context in an energy efficient building. I would prefer to see it in the building. As Bob points out, we assume this affects the restrooms also, or is that a separate recirc system? Tim Correspondence 10/3/2005 – Email from Nicole Buscher to Bob Berry Bob, MKK has reviewed the information you have provided and have some questions which need your response. I'm at jobsites most of the day tomorrow, Tuesday, so you're welcome to copy MKK on this correspondence back to me. Thank you, Nicole Nicole, The information provided to MKK, in this email, needs to be expanded to ensure the proper selection of equipment. - The 47 degree ground water temperature, I assume, is from a test well or an existing well near the site? - I would like to know where the 405 MBH load came from. This is during a heating design day. What was run during a cooling design day? - The piping diagram provided from Bob Berry will need to be analyzed and drawn up, per our standards. This is to ensure that the mechanical room is piped properly during construction. MKK cannot comment on the validity of this drawing. - The "Revised Sequence of Operation......." document will need to be analyzed. The pumps described in the sequence need to be sized. - Once loop temperatures are determined, based upon the building load during cooling and heating, heat pumps can be selected by the approved manufacturer. If the heat exchanger can perform per the building load needs, and maintain the loop temperatures as described in the "Revised Sequence of Operation......." (47 degree minimum), then the heat pumps can be selected. This project was designed based on a closed loop ground source heat exchanger. This new design basis needs to be engineered, in some capacity, to ensure the owner receives a high quality system. All of the above items will affect system performance, with the heat pumps as the terminal device being a major part of it. With this said, MKK suggests that the heat pumps remain on hold until this system is designed to suit the building's and owner's needs. I will be available tomorrow for your comments. It's my understanding that Bob based everything upon the submittals Air Comfort has provided; however, the heat pumps are on hold until MKK responds. A response is also needed on the fluid within the closed-loop system of the heat pumps. Can we stay with Methanol? Could water be used now that it's all within the building? Unfortunately, we don't have any time. The heat pumps which are on hold are out 6 weeks once released and a quick-ship option is not available. Therefore, please review and respond with an cost impacts this has to MKK, as well as an anticipated response date. I spoke with Tim Macnamara and have this clarification regarding this item. As the installer, it is considered their responsibility to provide these items, which has historically been done here at Cheyenne. The College will be procuring only the carpet per our earlier discussions, and not any adhesives, base coverings or other items associated with this portion of the project. 2) Regarding the new geotherm well system which was agreed upon a couple of weeks ago, I wanted to make sure that this new system is reviewed by CW Industries in the event that there may be impact to the control system. Michael Walters, his technical staff, Phil Neal, Fremont Electrical, and Nicole Buscher need to attend. If this time does not work for everyone, let me know. The meeting will be at the job site and LCCC will need to convey the IT wiring needs to Fremont. For example, how much wire length will be need once the IT homeruns enter the server rooms. It would be nice for all the small details to be worked out through email over the next week so we can talk about the on-site issues during the meeting. Michael, if you could forward me the specs on the server racks, sizes, other computer needs, etc. That would be great. I also still need to get the projector specs/templates from you. Also, let’s start planning and counting the computers that are at the ACC plus any new computers/equipment that Michael is planning on buying. Jerry and Bob, I assume Michael has a separate budget for this stuff. Carson Correspondence 10/4/2005 – Email from Jerry Harris to Steven Frederickson Steve, I would recommend that we wait for a response from Nicole at Taylor Kohrs. John Parks with MKK Engineering is aware of the changes that we have made, and I feel you should probably work with John and MKK, but in reality you are contracted by TK and not LCCC, so they may have other ideas. My main concern is that we don’t forget to include CW in this process since changes have been made, thus avoiding surprises or delays down the road. In addition, this picture is somewhat complicated now in that LCCC is handling most of the exterior segments of the geothermal systems, while TK is handling the building interior segments of the system, so good communication and teamwork is critical. One concern I have is the potential financial impact this change will have on the control system, and only CW can provide this information. If there is going to be a financial impact, meaning additional costs, then that issue needs to be addressed ASAP. I will stay on top of this issue until we have resolve and direction. Thanks Jerry L. I am in the process of issuing to Watson Well a "Notice of Award" document which will allow them to proceed with obtaining a performance bond. I have informed Watson Well that I cannot issue a contract or purchase order until I have a hard copy of the performance bond and their Certificate of Liability Insurance" document. Regarding the "energy grant rough-in electrical" quote from Fremont, before I issue a purchase order I need to make sure that the conduit run across the parking lot for the turbine includes two (2) 4" conduit runs. Their quote does not specify the 4" quantity, only the 1". According to Ted Hanlon, he needs two (2) 4" and two (2) 1" or two (2) 4" and one (1) 2". The Board study session begins at 5:30 pm. As you will recall, during our meeting on Sept. 8, I have requested provisions to measure raw temperatures (thermocouples or thermistors), flow rates and energy consumption (via wattmeters) for three different 'tapping' configurations and have not asked for BTU-meters or any other controls or software (please refer to the minutes of the meeting). I must say that for the purposes of UW's project, the current propsal by Air Comfort and CW Industries goes far above and beyond of what we (UW) need to complete our portion of the project. It seems that Option C (looking at a limited number of heat pump units) comes somewhat close to what we need (raw data temperature, flow rate and energy consumption data), but we definitely don't need any controls or software.. Carson Correspondence 10/10/2005 – Email from Nicole Buscher to Team We've gotten to the point where I will need decisions on the following energy grant items: Glass: Are we going to go with Solarban 60 Starphire? Lighting: Are we going to proceed with the Dimming Controls, Variable Lamp Switching & Photocells for the lighting? We've approved the rough-in but now need to verify how the lights are wired. Both of these are currently included in the Energy Grant Spreadsheet. As for Geotherm, MKK and Bob Berry finalized their information Thursday. Air Comfort resubmitted the heat pumps on Friday. Once approved, pricing can be finalized. Thank you, Nicole Correspondence 10/10/2005 – Email from Seth Carson to Team Nicole and Team, First, It was my understanding that the Starphire 60 was the baseline window. The upgrade to the 60 Clear was $14,828. And the upgrade from that was to the Sungate 500 for $384.00 more. From my memory and my meeting notes, it was Tim Laughlin that recommended that the we go to the 60 clear and not to the 500 because it would change the heat/cooling loads too much and mess up MKK calculations. If this is the case and as per the grant, we can’t ask Tom Fuller for the $14,828 unless we upgrade. I feel confident that Tom will come through with additional funds. We have already figured in the upgrade in the old variance letter too. Second, the lamp switching and photocells follow my same recommendation. FYI, they will cost $22,246 in total. Fremont has already been given the go ahead to rough-in for the switching. I would guess that more the equipment might take awhile to get in. I would suggest that we give Nicole the go ahead for Fremont to order the equipment so as not to slow down the process later. Third, Bob Berry phoned me today. It sounds like MKK and Bob are on the same page. I would recommend that the heat pumps be ordered ASAP. Nicole, please send the final prices when Air Comfort releases the heat pumps. Basically, the black membrane roofing is visible from the ground. Therefore, Midyette Architects put together an ASI to place block on the back side to cover this membrane. After reviewing on Friday, I didn't think that the installation was an eye-sore and would like to leave as currently drawn and built. Therefore, we're asking for owner input on the matter. I've attached photos I took on Friday. A little difficult to see; however, and a visit by those in Laramie may be best (just not today). Please review and advise. Is your intent to have the countertop and all the body of the casework be the same plastic laminate selection? We recommend that the casework body and countertop be different so there is consistency throughout the project in this regard. We also recommend keeping the same scheme for the casework in both break rooms for consistency. The plastic laminate selections were based in part on their ability to work with both the tan and burgundy accent paint colors. Please let Midyette architects and Taylor Kohrs know if you wish to use the Ashen Ceramic as the countertop material in Break room E106 so color selections can be coordinated with the manufacturer. Thanks, Timothy Laughlin Correspondence 10/10/2005 – Email from Michael Walters to Seth Carson Hi Seth -- Here is the information we talked about on the phone the other day. 1. None of the "IT homeruns" go to the server room. All wiring including the server room go to the wiring closet in the respective pods. Wiring in the connecting area should go to the wiring closet located in the server room. 2. Wiring should all be Cat5e cabling, we use Belden and have been pleased with it. 3. All wiring should be terminated on both ends with RJ-45 jacks. The offices/classrooms/etc. should all be orange in color. The plates should be marked with the pod and sequence number. Thus N31 would be the North pod and the 31st connection in that pod. 4. The connections in the wiring closet inside the server room only should be terminated on an APC Netshelter VX 42U with sides in black color. The model number is AR2100BLK. This rack will have 25U of switches and the rest of the space can be used for the termination of the cat5e cable to Panduit CPPA48FMWBL panels which are mounted in the rack. Once you run out of space in the Netshelter you should use 19" two post racks from APC, model AR201 with the same Panduit panels. 5. The connections in the other wiring closet should use 19" two post racks from APC, model AR201 with the same Panduit panels. 6. The 12 strand multimode fiber cable between the wiring closets should all be terminated with hot melt ST connectors on both ends. The fiber ends will be in a 19" rack mount can, Panduit FCE1 with FAP6WST module. 7. All cat5e and fiber must be tested and the results provided to LCCC. 8. You have a 30 inch depth from the wall and a 36 inch width along the wall to set you transformer in. Please le me know if this is not going to work by Tuesday at noon. FYI, the conduit from the transformer will go above to main switch gear to the outside disconnect. Then back inside to the main bus. Please see attached photos of electrical room. The trash bucket is where your transformer will need to go. As related to your email: It is critical for you to finish your design work ASAP. It is my contractually responsibility with the assistance of Jerry Harris to coordinate the bid process and selection. I know you have been working with Jerry, but you need to make sure you duplicate your correspondence to me as well. I need the final design in AutoCAD 2002 form with ALL specifications and scopes to bid out. I appreciate you trying to save money and competitively bid out the equipment. Nonetheless, I need the final designs to get the final bids. LCCC needs the final bids before we can submit the supplemental grant to the WBC to get more funding. That is the process. Please finalize your work immediately. I urge you to read your contract and fulfill all the requirements. Also, I will be my recommendation to use Fremont to do ALL electrical work in and attached to the building. Don from Fremont has clearly stated that LCCC will lose their warranty if another electrical contractor does any work on Fremont existing equipment. My experience with LCCC is that they would want to go there. Lastly, did you get the stamp on the drawings? Let me again stress that that you please realize that the supplement grant process is waiting on your bid quality design. We need to price out the entire renewable project as if we had the original funds. Right now we don’t have enough funds to erect the turbine. Time is very important! You had stated to Eileen, Phil and I in May that the design bid package would be ready August 1st. Please get me the documents ASAP. Also, if you would like to bid on the solar package please send that too. We have to have all the bids back for the complete system ASAP so we can give them to Tom Fuller and ask for the actual funds amount to finish the project. Yes in fact new flashing and extra expenses could occur at that point. My recommendation would to save the materials and skip the additional blocking of the parapet. This also keeps the workers back a ground level during these colds and wet times. Ø I have received the “Performance and Payment Bond” documentation from Watson Well in the amount of $142,887.96. Ø Contract No. BS06-803 has been written and delivered to Watson Well for their review and signature. Ø Following receipt of the signed contract, a “Notice to Proceed” letter will be sent, releasing Watson Well to proceed with their scope of work. Renewable Energy Project – Equipment and Infrastructure: Ø I received the engineering design package on Thursday, October 6th , reviewed and began quote process. Ø Equipment has been quoted for the following categories: a) Infrastructure – power monitoring equipment; b) power infrastructure equipment; c) solar photovoltaic system; and d) teaching turbine and met station. Ø A total of nineteen (19) quotes were sent for this equipment, with the due date for all quotes being Thursday, October 13th. Ø I will spreadsheet the quotes by category sometime Friday and send to all. Renewable Energy Project – Electrical Contractor Ø I received the engineering design package on Friday, October 7th, reviewed and began bid process. Ø A bid document was developed, requesting sealed bids on the following scopes of work: a) project management; b) instrumentation calibration and start-up; c) infrastructure – wiring/transformers; d) solar system; e) teaching turbine; and f) grounding. Ø A total of five (5) bids were sent to three (3) Cheyenne electrical contractors and two (2) to Laramie electrical contractors, sealed bids are due on Tuesday, October 18th. Ø I will spreadsheet the bid results and forward to all on Wednesday. Ø Per bid documents, successful electrical contractor will be required to obtain proper insurance and a performance bond equal to 100% of the contract amount. Ø Following review of bids, a contract will be issued to successful bidder. Wind Turbine Remanufacture: Ø Refurbishment of wind turbine is on schedule. I am fully aware that these numbers are critical for finalizing the energy grant, and I am making every effort to obtain this data as quickly as possible. Thank You Jerry L. You may of course decline any of the options offered; nevertheless LCCC will be providing provisions in the building to measure raw temperatures (via thermocouples or thermistors), flow rates and energy consumption (via wattmeters). Please refer to the minutes of the meeting at the site on Sept.8, 2005 AND more importantly our meeting at UW on August 9, 2005 (with Carson, Neal, Yavuzturk and Fuller). At the meeting on Aug. 9, we were asked by Carson and Neal to remove any such provisions mentioned above as the building system control design according to Carson already included such tapping points and provisions for data acquisition. Although UW's initial work scope had contained the above mentioned provisions for data acquisition they were finally removed after this meeting. To further answer your questions. 1) The scope of UW's project is focused on long-term data collection, analysis and development of design procedures. It does not require and will not perform system controls. 2) UW has developed or will develop as part of its work scope its own data acquisition and analysis software, and does not require any external services in this regard other than the provisions discussed above. 3) We would need to address as to what happens to UW installed equipment at the end of our project in 3.5 years. We said we would use it on 23.3 acres for a total of 76.89 af/year which we rounded up to 80af/year. If you say we are going to irrigate 150,000 sf which equates to 3.44 acres (43,560 sf per acre). Using the same water usage rate of 3.3 af/acre/yr, this calculates to 11.4 af/year. Hope this helps.
